To set up AI customer service for a retail business, start with one channel, current store information, and a small set of questions. Connect the relevant store data, define what the agent can do, test it, and then enable a limited live workflow.
That is the practical sequence. Connecting everything on day one makes it harder to see which setting caused a bad reply. This guide uses SmartReply for an online retail workflow. It does not assume support for your physical store's point of sale system.
1. Pick a problem your team already handles
Look through a recent week of conversations. Choose a repeated task with clear facts behind it. Product care, shipping coverage, and basic return instructions are easier starting points than disputed refunds or exceptions to your policy.
Write the intended result in plain language: “Answer shipping questions under our Instagram posts using our current delivery policy.” That gives you a channel, a source, and something you can test.
2. Prepare the facts before the tone
Your agent needs the same approved information a new employee would need. Gather the catalog details, shipping rules, return conditions, promotion dates, and the route to your team. Resolve contradictions between pages before importing them.
- Give each policy a current source and an owner.
- Separate rules that vary by country, product, or purchase date.
- Include the next step when a question cannot be answered.
- Remove old offers and examples that contain promises you no longer make.
Use the AI knowledge base guide for the source preparation. Short, correct facts matter more than a long document full of marketing copy.
3. Connect the store and customer channel
In SmartReply, choose the intended company and agent. Connect the supported store and social services through their sign in flows. Make sure the person doing this has the required permissions. An account connection does not necessarily enable every action on that platform.
Use the product page for the exact workflow: Shopify website chat, Instagram, or TikTok Shop support. A TikTok comment and a TikTok Shop buyer message are different entry points.
4. Write instructions your team can recognize
Describe the tone and the boundaries. For example: “Answer the question first. Keep replies short. Use the approved shipping policy. If the destination is not covered, ask the customer to contact support rather than promising delivery.” Adjust that instruction to your actual business.
Give the agent a few concise examples. If someone asks whether an item comes in blue, answer that question from the catalog. Do not add an invented discount, a long introduction, or a delivery estimate they never requested.
5. Decide when a person takes over
Choose the cases that need review: policy exceptions, unclear order matches, repeated complaints, and requests outside supported actions. Assign a person or queue that will actually check those cases. An escalation rule without an owner just moves the waiting somewhere else.
See SmartReply's reply and order action settings before allowing actions. Confirm the effect of each enabled control rather than assuming every generated suggestion will be sent.
6. Test and launch one workflow
Use sample questions with known answers. Include an unknown product fact, a policy exception, and a request to speak to a person. In SmartReply, the Control Panel documentation explains the difference between generating replies and enabling automatic execution.
You can also use the SmartReply ChatGPT plugin for supported instruction and sandbox tasks. Check a completed test before changing live settings. A sandbox response does not prove that a real refund or order update happened.
7. Review what customers actually experience
After enabling the limited workflow, inspect wrong answers, repeat questions, and escalations. Record the cause of each problem. Fix an incorrect source at the source. Fix unclear instructions in the instructions. If the underlying delivery process is broken, changing the reply will not fix the delivery.
Set up your first SmartReply workflow, or book a demo and bring the questions your team answers every day.
