A package goes missing. The customer gets refunded. Your team handles the conversation and moves on to the next order. But did your brand get reimbursed?

That is the part we want sellers to check. Helping the customer and recovering an eligible order loss are two jobs. It is easy to finish the first one and lose track of the second when your team is working through hundreds of orders.

We built SmartReply's reimbursement workflow to help you find possible missed payments, gather the evidence, and work through FBT and TikTok Shipping claims. Here is how to approach it for US TikTok Shop customer orders.

A customer refund does not tell you whether your brand was reimbursed

The refund tells you what happened for the buyer. The seller reimbursement tells you what money came back to your shop. You need to look at both before deciding there is a claim to file.

Start with the order, refund reason, fulfillment method, shipping service, and finance record. If reimbursement is already processing, follow that payment. If it is missing, check whether the case qualifies and whether you still have time to submit.

Also check that SmartReply has Finance access. Missing finance data can look like a missing payment. Filing another claim before checking that creates more work for everyone.

How FBT reimbursement claims work

FBT means Fulfilled by TikTok. For customer orders, TikTok's US FBT reimbursement manual covers eligible logistics losses. Some refund only cases are reimbursed automatically. When an eligible payment was missed, sellers can submit a ticket for review.

The manual sets a claim window of 60 days from order creation. Product satisfaction returns, such as an item not fitting or no longer being needed, are excluded. The refund approval path matters too. TikTok warns that proactively approving certain refunds can make the seller ineligible. Check the exact scenario before taking action.

This article focuses on customer orders. FBT inbound shipments, warehouse inventory, and return inventory have separate requirements in the same manual.

TikTok Shipping claims need evidence of the shipping problem

For upgraded US TikTok Shipping and Collections by TikTok, the logistics reimbursement policy requires the provided TikTok Shipping label, a carrier scan, and a claim within 60 days of order creation. Seller Shipping uses a different route. Check the shipping service on the order.

For a lost package, TikTok requires official carrier confirmation that the carrier received it and subsequently lost it. A tracking page that stopped updating is a reason to investigate. It does not establish loss by itself.

Damage and missing contents need evidence of carrier fault. Poor packaging and product satisfaction issues are excluded. This coverage concerns shipments to the buyer and does not cover buyer returns. Read the policy for the situation you are claiming.

Find possible missed reimbursements without reopening every refund

In SmartReply, open Returns and Appeals, then Suggested appeals. You can review the return, reimbursement information, assessment, and submission status together instead of copying order IDs between tabs.

The Orders to review (60 days) shortlist looks at orders created within 60 days whose return was resolved at least 15 days ago, with no recorded reimbursement or processing payment. Those are SmartReply review filters. The 15 day filter is not a TikTok requirement to wait before filing.

A suggestion gives your team somewhere to start. Check the underlying return and finance transaction, then decide whether there is an eligible claim. Our Returns and reimbursement appeals guide walks through that review.

Get the evidence together before you submit

A useful claim explains what happened and includes proof for that specific issue. Keep it direct. The person reviewing it should be able to find the order, understand the loss, and see why you are asking for reimbursement.

  • Order and refund details: the order reference, return reason, outcome, and reimbursement information.
  • Shipping evidence: tracking events, delivery photos, and carrier findings relevant to the issue.
  • Customer evidence: relevant conversation screenshots and photos or videos showing what arrived.
  • Required documents: any invoice or other supporting file requested for the applicable claim route.

SmartReply can assess the case and prepare a claim draft using the available evidence. Read the assessment and fix missing or unsupported details before submitting. Each AI appeal generation costs 1 credit, including regeneration.

If you need a carrier finding, SmartReply's Carrier messages workflow can contact supported carriers and keep their replies linked to the shipment. Attach the relevant correspondence to the claim after reviewing it. See our carrier investigations guide for the setup.

Use the Chrome extension to work through Seller Center claims

The SmartReply Chrome extension brings suggested claims into a sidebar beside Seller Center. Confirm the shop, choose FBT reimbursements or TikTok Shipping, then load your suggested appeals.

For an individual claim, the extension fills supported fields and selects a mapped ticket topic. Check the topic, description, and attachments in the prepared form before confirming submission. If the reason is unfamiliar, the extension stops for a manual choice.

You can also review the loaded list and choose Submit all eligible appeals. The extension generates missing assessments and submits ready records within the filing window one at a time. Keep the tabs open and stay in the same shop while the batch runs.

If a submission outcome is uncertain, check Support history before trying again. The Chrome extension reimbursement guide covers individual claims, batch filing, ticket replies, and payment checks. Start with the linked installation guide if you have not installed it yet.

A solved ticket does not mean the money arrived

This is where you need to follow through. Read the ticket reply, then check the seller reimbursement transaction. A ticket marked Solved or Closed tells you the support status. You still need the payment record.

In the extension, use Claim status and Refresh linked tickets to check replies. In Returns and Appeals, compare Successful claims and the reimbursement amount with the finance transaction. Keep order reimbursements separate from shipping or fee credits.

For a simple example, a $40 refund and a $40 seller reimbursement would show matching amounts. A closed ticket with no recorded reimbursement would still need a payment check. That is an illustration of what to compare, not a promise that every claim pays the full order value.

Start with the refunds your team already handled

Review recent logistics refunds while there is still time to file. Confirm the fulfillment and shipping route, check whether payment is already recorded or processing, and gather the missing evidence for cases that qualify. Then follow each submitted claim through to the outcome.

A delivery issue can also lead to a bad review or a low customer service rating. Our guides to TikTok Shop review management and improving TikTok Shop CSAT cover those workflows. Reimbursement claims and performance appeals have different purposes, even when they concern the same order.

Keep track of the money after the refund

We built SmartReply to connect the customer issue, claim evidence, Seller Center ticket, and reimbursement record. Your team can work through eligible claims and see what still needs attention. TikTok decides eligibility and payment.
